Groups with several companies

One system for the whole group. Each company keeps what makes it different.

You add the companies as separate organisations in one system. Each has its own work locations, its own signatory for leave orders, its own logo and its own reports, while employees request leave the same way whichever company they work for.

For each company

What is separate for each company

Each company is kept as a separate organisation with its own settings.

  • Work locations

    Each company has its own list of offices and other work locations, with an address and a default location.

    Work locations →
  • Signatory for leave orders

    Leave orders are signed with a qualified electronic signature by the head of the company concerned or a person they authorise. The service is provided together with Borica.

  • Logo and colours

    For each company you set the logo, the colour of the top bar and the colour of the text in it.

  • Holidays by country

    If the companies are in different countries, you create a separate set of public holidays for each and apply it to the employees concerned.

  • Company head in the approval

    The head of the company can be the last step in the leave approval. If you do not want every request to go through them, the step is approved automatically.

  • Reports

    The monthly report (Form 76) and the leave balance at a given date are produced for a selected company. The detailed report can be filtered by company.

Shared across the group

The same rules where you want them to be the same

Leave types, accrual and restrictions are set once. For each rule you choose whether it applies to everyone or only to specific people.

  • Leave types and categories, set once for the whole system.
  • Accrual rules and blocked periods for everyone or for selected employees.
  • Roles for HR, finance and administrators with access to reports and requests.
  • A log of every action in the system, downloadable from the reports.

Questions about groups

All questions →
What is a group with several companies in TIMEOFF.GURU?

A group is several legal entities using the same system. Each is kept as a separate organisation with its own work locations, signatory for leave orders, logo and reports.

Do we need a separate system for each company?

No. The companies are added as organisations in one system, and for each employee you choose which company they belong to.

Can employees sign in with their Microsoft Active Directory account?

Yes, through single sign-on (SSO) using SAML. Microsoft AD FS acts as the identity provider (IdP) and TIMEOFF.GURU verifies the SAML token.

To set it up, your Active Directory administrator gives us:

  1. the address the system will run on, for example timeoff.your-company.com;
  2. the SAML X.509 certificate;
  3. the SSO login URL;
  4. the name of the attribute holding the user name, usually the email address.

We then configure TIMEOFF.GURU. Google, OAuth, LDAP and HCL Domino sign-in are also supported. Directory integration is an option on top of the plans and is charged separately.

Can we move our data from our current system or from Excel?

Yes. Importing employees and leave data is included in the Standard plan.

How do we use leave data in another system, such as payroll?

There are three ways:

  • Excel export of reports, on all plans;
  • Calendar sync with Google, Outlook and iCal, on the Standard plan;
  • API for automated data exchange, on the Standard plan.

See the API documentation. For access, write to support@timeoff.guru.

Which languages does the system support?

11 languages: English, Bulgarian, Greek, Macedonian, German, Spanish, French, Romanian, Serbian, Russian and Turkish. Missing a language? We can add it.

Where is our data stored?

Our primary data centre is Equinix IBX in Sofia, in the European Union. Backups are kept in a physically separate location. All traffic is encrypted, and our information security management is certified to ISO/IEC 27001 and ISO/IEC 27017. See the Security page for details.
